 Challenges & Objectives

The main objective of this project was to centralize the management of all clinics within a single CRM system, consolidating reports, databases, and communications of each clinic into one organized platform.

To do so, we implemented HubSpot's Marketing Hub, integrating lead acquisition channels, social media platforms, and a cohesive digital strategy. We also developed a new website aimed at capturing and converting leads.

The biggest challenge in this project was replicating HubSpot’s processes for every new clinic that AprilVets progressively opened. To overcome this, we implemented the following:

  • Developed a standardized and scalable HubSpot onboarding process designed to accommodate the unique needs of each independently operated clinic. This allowed us to efficiently onboard future clinics as the network grew.
  • We separated each clinic’s activities and databases within the CRM, enabling precise tracking and individual performance analysis.
  • Customized all materials and marketing campaigns for each clinic.

Solution

At mbudo, we had the opportunity to support AprilVets from the very beginning of their CRM journey. This allowed us to define initial processes and implement streamlined, scalable management through HubSpot.

To address the different challenges of the project, we developed the following solutions:

  • A standardized onboarding methodology was designed for each clinic, outlining a step-by-step approach to ensure consistent and streamlined HubSpot implementation for across all locations.

  • All marketing materials were customized to reflect each clinic’s identity (logo, location, etc.) and organized in dedicated folders within HubSpot for easy access. We also created active lists to automatically segment leads by clinic.
  • Using a multisite WordPress setup, we efficiently replicated the structure and design of each clinic’s website, adapting specific details for each location. Social media and paid media campaigns were segmented by the location of each clinic.

Results and Impact

At mbudo we successfully launched several of AprilVets' clinics with digitized key processes that enhanced both operational efficiency and the impact of marketing campaigns.

The opening of each new clinic represents an opportunity for mbudo and the AprilVets team to further refine processes, improve responsiveness, and ensure a positive client experience.
